THE POTLUCK COLLECTION / BREAK ROOM LUNCH

Office potluck sign-up sheet

A ready-to-share office potluck menu. Pick your headcount, then let everyone choose a dish or lend a hand.

First time? How the signup sheet works
  1. As the host, choose a guest count, edit the dish list and enter your event title.
  2. Select Create my signup sheet. On the new event sheet, select Copy guest link and paste it into your group chat.
  3. Guests open that link, enter a display name and select Claim beside one open dish. For example, if Sam claims drinks, the group sees Sam next to drinks.
  4. If plans change, the guest asks the host to reopen the dish. The host uses the browser that created the sheet and can print the final list.

How many guests?

Guest count suggests a starting menu; it never locks your rows. Edited rows stay unchanged when the count changes. Large gatherings start with suggestions for up to 1,000 guests.

Add, rename or delete any row. Each contribution needs a unique name. Up to 1,000 rows per new sheet.

THE COORDINATOR’S NOTEBOOK

How to organize a office potluck

Planning a Thanksgiving potluck at work? For a 12-person lunch, start with a main for 12, two sides serving six each, a dozen rolls and a dessert cut into 12 portions. Give each contribution its own row. If the break room has one microwave, ask one volunteer to bring a chilled cranberry salad and another to bring rolls so everyone can eat during the same break. For an everyday office lunch, swap the holiday main for a sandwich platter. Include the room, serving time and a cleanup slot in the invitation.

Start with the lunch break, not the recipe list

Ask how many coworkers will eat during each shift and when the room is available. If lunch lasts 30 minutes, food should not require 20 minutes of shared microwave time. Use sandwiches, salads or another menu with agreed storage and serving arrangements. Confirm any restrictions on kitchen appliances with the office coordinator.

A sample assignment list for 12 coworkers

Request 12 sandwich portions across two contributors, a clearly described vegetarian alternative if needed, salad for 8, fruit for 6, 12 dessert pieces and drinks. These are example quantities: check appetites and yields. Add plates, cups, napkins, serving utensils, table setup and cleanup as their own jobs.

Make participation comfortable

Say that contributing is optional and store-bought food is welcome. Offer setup or cleanup to colleagues who cannot spend money or bring food. Collect sensitive dietary details privately rather than requiring public explanations. For a Thanksgiving lunch, edit the main and sides but keep the same ownership and break-room checks.

Choose the right format

Use the online builder above when guests will claim contributions from their own devices. For a noticeboard, a blank PDF or an editable spreadsheet, use the printable potluck sheet maker. Its CSV download opens in Excel and Google Sheets; downloaded copies do not update live.

Invite the group and handle changes

Share one guest link with a clear deadline and serving time. Use the invitation examples if you need a starting message. If a guest cancels, the host reopens the contribution from the original browser. See the complete potluck checklist for the planning sequence.
