THE POTLUCK COLLECTION / GARDEN GATHERING

Gluten-free potluck sign-up sheet

A ready-to-share gluten-free potluck menu. Pick your headcount, then let everyone choose a dish or lend a hand.

First time? How the signup sheet works
  1. As the host, choose a guest count, edit the dish list and enter your event title.
  2. Select Create my signup sheet. On the new event sheet, select Copy guest link and paste it into your group chat.
  3. Guests open that link, enter a display name and select Claim beside one open dish. For example, if Sam claims drinks, the group sees Sam next to drinks.
  4. If plans change, the guest asks the host to reopen the dish. The host uses the browser that created the sheet and can print the final list.

How many guests?

Guest count suggests a starting menu; it never locks your rows. Edited rows stay unchanged when the count changes. Large gatherings start with suggestions for up to 1,000 guests.

Add, rename or delete any row. Each contribution needs a unique name. Up to 1,000 rows per new sheet.

THE COORDINATOR’S NOTEBOOK

How to organize a gluten-free potluck

Ask each cook to bring packaging or an ingredient list. The dessert row is a planning prompt and cannot establish that a recipe suits every guest. Invite guests to discuss their own needs privately with the cook before choosing a dish.

Confirm each guest’s needs with the cook

A dish name or an ingredient card is a starting point for a conversation, not certification. Ask the person preparing a contribution about ingredients, packaging and the preparation setup. Let guests discuss personal dietary details privately. Do not describe the whole event as safe for every allergy.

Create separate preparation and serving assignments

Add rows for ingredient cards and dedicated serving utensils. Discuss how food will travel, where it will sit and how utensils will remain with the correct dish. If mixed food is present, ask the guests concerned what arrangement they need rather than assuming a separate plate solves the issue.

Offer practical alternatives without promising safety

A fruit contribution, a drink or a labeled packaged product may be easier for some volunteers, but the guest still needs to check whether it suits them. Keep packaging available where possible. Rename the suggested dessert row to describe the actual contribution and remove blanket claims such as “allergen-free.”

Choose the right format

Use the online builder above when guests will claim contributions from their own devices. For a noticeboard, a blank PDF or an editable spreadsheet, use the printable potluck sheet maker. Its CSV download opens in Excel and Google Sheets; downloaded copies do not update live.

Invite the group and handle changes

Share one guest link with a clear deadline and serving time. Use the invitation examples if you need a starting message. If a guest cancels, the host reopens the contribution from the original browser. See the complete potluck checklist for the planning sequence.

Frequently asked questions

Does claiming a row certify a dish as gluten-free?

No. A signup records a contribution. Confirm ingredients, preparation surfaces and serving arrangements with the person bringing the dish.

Can guests join without an account?

Yes. Open the shared sheet, enter a display name and claim an available contribution.

Where are my host controls?

Open the sheet in the browser that created it. Clearing site data removes the host key.
