Christmas potluck sign-up sheet

A ready-to-share christmas potluck menu. Pick your headcount, then let everyone choose a dish or lend a hand.

First time? How the signup sheet works
  1. As the host, choose a guest count, edit the dish list and enter your event title.
  2. Select Create my signup sheet. On the new event sheet, select Copy guest link and paste it into your group chat.
  3. Guests open that link, enter a display name and select Claim beside one open dish. For example, if Sam claims drinks, the group sees Sam next to drinks.
  4. If plans change, the guest asks the host to reopen the dish. The host uses the browser that created the sheet and can print the final list.

How many guests?

Guest count suggests a starting menu; it never locks your rows. Edited rows stay unchanged when the count changes. Large gatherings start with suggestions for up to 1,000 guests.

Add, rename or delete any row. Each contribution needs a unique name. Up to 1,000 rows per new sheet.

THE COORDINATOR’S NOTEBOOK

How to organize a christmas potluck

Give the turkey its own arrival window. Ask who will carve it, where the board will go and whether the gravy travels separately. Reserve a shelf for chilled eggnog before trays fill the refrigerator.

Build a Christmas dinner around the main dish

Decide whether the host is supplying turkey, ham or another main before opening signup. Ask that volunteer for the portion yield and serving arrangement. For a sample 12-person meal, plan 12 main portions overall, two or three sides, bread and dessert; adjust for your guests rather than treating every side as another full meal. A vegetarian main needs a clear contribution row when requested.

What to bring when you are short on time

Rolls with a labeled spread, a purchased dessert with its ingredient packaging, fruit, alcohol-free drinks or a serving-supplies kit can be useful contributions. Check the board before shopping. If two guests want to bring the same dish, have the host create two clearly sized rows instead of hoping the duplication works out.

Keep Christmas lunch at work manageable

For a workplace gathering, confirm the break-room rules and serving window before choosing dishes that need reheating. Smaller, easy-to-portion contributions may suit a short break better than a centerpiece that needs carving. Keep gift pairings off the food sheet and label alcoholic drinks separately from alcohol-free versions.

Choose the right format

Use the online builder above when guests will claim contributions from their own devices. For a noticeboard, a blank PDF or an editable spreadsheet, use the printable potluck sheet maker. Its CSV download opens in Excel and Google Sheets; downloaded copies do not update live.

Invite the group and handle changes

Share one guest link with a clear deadline and serving time. Use the invitation examples if you need a starting message. If a guest cancels, the host reopens the contribution from the original browser. See the complete potluck checklist for the planning sequence.

Frequently asked questions

Who should bring the gravy?

Give gravy its own row. The turkey cook can claim both jobs if they have room to transport the sauce in a sealed container.

Can guests join without an account?

Yes. Open the shared sheet, enter a display name and claim an available contribution.

Where are my host controls?

Open the sheet in the browser that created it. Clearing site data removes the host key.
