Gift exchange sign-up sheet

A ready-to-share gift exchange menu. Pick your headcount, then let everyone choose a dish or lend a hand.

First time? How the signup sheet works
  1. As the host, choose a guest count, edit the dish list and enter your event title.
  2. Select Create my signup sheet. On the new event sheet, select Copy guest link and paste it into your group chat.
  3. Guests open that link, enter a display name and select Claim beside one open dish. For example, if Sam claims drinks, the group sees Sam next to drinks.
  4. If plans change, the guest asks the host to reopen the dish. The host uses the browser that created the sheet and can print the final list.

How many guests?

Guest count suggests a starting menu; it never locks your rows. Edited rows stay unchanged when the count changes. Large gatherings start with suggestions for up to 1,000 guests.

Add, rename or delete any row. Each contribution needs a unique name. Up to 1,000 rows per new sheet.

THE COORDINATOR’S NOTEBOOK

How to organize a gift exchange

Set a spending limit before names are drawn. Keep recipient pairings outside the shared sheet so surprises stay private. Assign one person to the wrapping station and another to guide the exchange while the refreshments stay available.

Use this sheet for supplies, not secret pairings

Create contribution rows for wrapping paper, tags, tape, spare bags, refreshments and cleanup. Send recipient assignments through a separate private channel. Anyone with the guest link can see the shared sheet, so putting pairings in its rules or dish labels would spoil the surprise.

Publish the practical rules before the event

Tell the group the spending limit, whether participation is optional and the exchange time. Explain whether gifts should be wrapped and labeled. Assign one coordinator to handle missing gifts privately and one volunteer to manage the wrapping station. A supply signup does not draw names or match recipients automatically.

Keep refreshments sized to the format

For a short exchange, hot drinks and small snacks may be enough; for a full meal, use the main potluck builder instead. Count cups, serving utensils and rubbish bags as contributions. Plan a place for packaging so guests do not have to clear the food table before each turn.

Choose the right format

Use the online builder above when guests will claim contributions from their own devices. For a noticeboard, a blank PDF or an editable spreadsheet, use the printable potluck sheet maker. Its CSV download opens in Excel and Google Sheets; downloaded copies do not update live.

Invite the group and handle changes

Share one guest link with a clear deadline and serving time. Use the invitation examples if you need a starting message. If a guest cancels, the host reopens the contribution from the original browser. See the complete potluck checklist for the planning sequence.

Frequently asked questions

Should I put recipient names on the list?

Use the shared sheet for supplies and refreshments. Send each assignment privately so guests can browse the list without revealing the draw.

Can guests join without an account?

Yes. Open the shared sheet, enter a display name and claim an available contribution.

Where are my host controls?

Open the sheet in the browser that created it. Clearing site data removes the host key.
