Potluck invitation wording: messages guests can act on
The most useful potluck invitation includes the date, place, serving time, signup link and a clear deadline. Say whether a guest is choosing a dish or suggesting a new one. Replace every bracketed field before sending these examples.

A simple invitation for any potluck
Join us for a potluck on [day, date] at [place]. Please arrive at [arrival time]; we’ll eat at [serving time]. Choose an open contribution here: [guest signup link]. Add your name by [deadline], and bring the quantity shown plus a serving utensil. Store-bought food and non-cooking contributions are welcome. Please message [host] privately about dietary needs or changes.
Before sending, open the guest link yourself. It should lead to the event sheet, not the homepage or a screenshot. Mention parking, building access or the rain plan if guests need them. Give a recognizable location in the shared invitation and send a private home address only to the intended group.
Office potluck invitation
Team lunch is on [date] in [room]. We’ll set up at [time] and eat at [time]. Please claim a dish, drinks, supplies or a cleanup task by [deadline]: [guest link]. Participation is optional, and bringing something store-bought is fine. Kitchen arrangements: [available fridge / microwave details]. Include an ingredient list with your dish and contact [host] privately if you need to discuss food requirements.
Keep the invitation inclusive. Do not imply that everyone has to buy ingredients, cook at home or disclose a medical condition to colleagues. If staff work different shifts, explain which serving time their contribution supports. Put cleanup inside the scheduled break rather than leaving it to whoever is still in the room.
Thanksgiving or Friendsgiving invitation
We’re sharing Thanksgiving dinner on [date] at [place]. Arrive at [time] for a [time] meal. [Host/volunteer] is coordinating the main dish; please choose a side, dessert, drinks or supplies here: [guest link]. Sign up by [deadline] and confirm your portion count. Oven space is [arrangement], so message [host] before bringing a dish that needs reheating. We’d love your company even if you cannot bring food.
Use the actual date instead of assuming everyone means the same Thursday. A Friendsgiving may be on a different weekend. Tell volunteers whether the main dish already includes gravy and whether the host has leftover containers; these are common duplicated or missing assignments.
Christmas potluck invitation
Come share a Christmas potluck on [date] at [place]. Food arrives at [time]; dinner starts at [time]. Pick an open contribution by [deadline]: [guest link]. Please label your dish and bring its serving utensil. Drinks containing alcohol should be clearly marked, and alcohol-free options are welcome. [Optional: The gift exchange is separate; budget and instructions will be sent privately.]
Food assignments and gift pairings serve different purposes. Keep recipient pairings out of the public contribution list. If your gathering is a broader workplace holiday event, adapt the greeting to the group and make participation optional.
A reminder that fills an actual gap
Quick reminder: our potluck is [day] at [time]. Your current contribution is [dish / quantity]. Please check the list here: [guest link]. We still need [specific missing item]. If your plans changed, message [host] by [time] so the row can be reopened. Thanks for helping us keep the table balanced!
Send this manually through the channel you already use. The signup sheet does not automatically email guests. A specific message works better than repeated reminders to the whole group when only one essential task is unclaimed.
When someone needs to cancel
Thanks for letting me know. I’ll reopen your [contribution] slot so another guest can claim it. Please don’t worry about finding a substitute yourself. We hope to see you at the next gathering.
Reopen the row before asking someone new to take it. Then check that the replacement claim appears on the sheet. For the last reminder, use the updated list rather than a previously saved screenshot.
