Halloween potluck sign-up sheet

A ready-to-share halloween potluck menu. Pick your headcount, then let everyone choose a dish or lend a hand.

First time? How the signup sheet works
  1. As the host, choose a guest count, edit the dish list and enter your event title.
  2. Select Create my signup sheet. On the new event sheet, select Copy guest link and paste it into your group chat.
  3. Guests open that link, enter a display name and select Claim beside one open dish. For example, if Sam claims drinks, the group sees Sam next to drinks.
  4. If plans change, the guest asks the host to reopen the dish. The host uses the browser that created the sheet and can print the final list.

How many guests?

Guest count suggests a starting menu; it never locks your rows. Edited rows stay unchanged when the count changes. Large gatherings start with suggestions for up to 1,000 guests.

Add, rename or delete any row. Each contribution needs a unique name. Up to 1,000 rows per new sheet.

THE COORDINATOR’S NOTEBOOK

How to organize a halloween potluck

Plan around trick-or-treat departures. Offer a first serving before families leave and ask one volunteer to reset the table for returning guests. Keep dim lighting for decorations and give ingredient cards their own well-lit spot.

Plan around trick-or-treating

Decide whether guests are eating before leaving, after returning or in two groups. Put the relevant serving time in each assignment label. If one volunteer brings chili for the early group and another for the late group, make those separate rows so the quantities and arrival times are clear.

Balance the table beyond candy

Start with a main, a vegetarian option if needed, an accompaniment, drinks and a small sweet selection. For a sample 12-person meal, confirm 12 main portions in total before adding cupcakes or candy. Ask parents or caregivers about suitable portions and practical serving needs instead of assuming every child will eat the same amount.

Make labels readable in the decorations

Put ingredient cards under normal lighting even when the rest of the room is dim. Keep wrapped candy apart from unpackaged food and give serving utensils their own space. Decorative names such as “witch’s stew” should sit alongside a plain-language dish description so guests know what they are choosing.

Choose the right format

Use the online builder above when guests will claim contributions from their own devices. For a noticeboard, a blank PDF or an editable spreadsheet, use the printable potluck sheet maker. Its CSV download opens in Excel and Google Sheets; downloaded copies do not update live.

Invite the group and handle changes

Share one guest link with a clear deadline and serving time. Use the invitation examples if you need a starting message. If a guest cancels, the host reopens the contribution from the original browser. See the complete potluck checklist for the planning sequence.
